Support – Storage Ledger

When you write, add your Salesforce edition, the scan number (SCAN-…) and the text of the error on the scan record, if any. Never send file contents or customer data.

Getting started

  1. Install the package and assign the permission set Storage Ledger Admin to the administrators who use the app.
  2. Open the app Storage Ledger in the App Launcher.
  3. On Storage Dashboard, click Run full scan. The scan runs as batch jobs in the background; the dashboard updates when it completes.
  4. In Storage Settings, choose the allocation rule, the alert thresholds and the alert emails, and schedule the daily scan.
  5. Use Storage Explorer for the largest items, Accounts and Opportunities, filters, cleanup review and CSV export. The folder Storage Ledger Reports and the dashboard Storage Ledger Overview have ready-made reports.

Questions

Does Storage Ledger delete files? No. It only flags cleanup candidates and records your review. Remove content with your own, audited process.

Which content does it count? Files (all versions), Enhanced Notes, legacy Attachments (file storage) and legacy Notes (data storage, counted at 2 KB each).

How are files on several records counted? Choose in the settings: Full count gives every linked record the full size; Proportional splits the size so that record totals add up to the org total. Accounts count a file once, even when it is on several records of the Account.

Why does a file count for an Account although it is on a Contact? Content on records with an Account lookup (Contacts, Opportunities, Cases, Contracts, Orders) rolls up to that Account.

The scan does not see all files. The scan runs as the user who started or scheduled it. Give this user the permissions "View All Data" and "Query All Files", so that all files are visible.

Org storage limits are empty. Reading the org storage limits needs the "Manage Users" permission for the scanning user.

Large orgs. Scans run as batch jobs (default 200 items per chunk, set in the settings). Incremental daily scans read only changed content; a full scan runs every 7 days by default to refresh links and remove deleted content.
